Job Description:

* Provide Administrative Support

* File and maintain IS Services related documentation

* Gather, collate and file all departmental reports

* Facilitate departmental provisioning

* Manage the IS Services Intranet page

* Manage the IS Services related mail users groups

* Maintain order levels of required stationary and supplies

* Coordinate, convene, and facilitate review meetings and records decisions made during the review meetings;

* Provide general support services within the department

* Maintains a list of all staff and contractors.

* Make copies or duplicate materials as requested

* Oversee day-to-day operation of copy machine; prepare and transmit facsimiles for the department.

* Greet and direct visitors as well as take messages when necessary

* Answer and maintain a log of routine inquiries as required

* Communicate general information and distribute correspondence and other material to staff within the department

* Opens and routes incoming mail

* Perform all sorts of routine typing assignments as appropriate; be proficient in the use of a personal computer to draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; types and mails form letters.

* Ensure facilities, transport and accommodation for all vendors is organized as and when required

* Facilitate accommodation and travel for staff working outside office hours.

* Ensure completion of all job orders and collection of all invoices from vendors for work completed

* Ensure reporting on contract status

* Administer the definitive software library

* Raise Purchase requests and Purchase orders and report on the approval status

* Ensure that all facilities like door security, cabinets, paper shredder, air-conditioning and other electronic equipment in the kitchen area and all areas occupied or used by the team are fully functional and failures promptly escalated to the appropriate team within or outside MTN.

Job Conditions: Standard MTNN working conditions Open plan office
Reporting To: GM, IS Services

Required Skills:

* 1-2 years work experience with exposure to:

* Documentation and database manipulation experience

* Experience in an administrative capacity

* Understanding of service delivery and service support environment

* Good working knowledge of Microsoft Office

* Microsoft Share point and working with a range of service providers would be an added advantage

Employment Status :

Permanent

Qualification:

A good first degree preferably in Administration or related field
